Our enquiry and support forms collect your name, contact details, property address or postcode, service interests and the details of your request. Construction enquiries may include timing and an indicative budget. Repair requests may include room details, urgency and access preferences. Complaints may include an existing reference. Please do not include passwords, payment-card details or identity documents.
How we use it
We use your information to answer enquiries, discuss appraisals and proposed services, handle repairs or complaints and maintain records of our communications. Where you ask us to consider a service, processing may be necessary to take steps before entering a contract. For existing services, we may process information to perform our contract, meet legal obligations or pursue our legitimate interests in providing and managing our services and resolving issues.
Submitting an enquiry does not subscribe you to marketing. If we separately ask for marketing consent, you may decline or withdraw it by contacting us.
Who can access it
Relevant House Manage staff use our internal management system to review enquiries and arrange follow-up work. Our website and systems use hosting and software providers, including WordPress, Supabase and Vercel. Other website forms may use WPForms and our CRM integration. We may share relevant information with contractors, professional advisers or service providers when needed to respond to your request or provide an agreed service, or where disclosure is legally required.
The enquiry database is hosted in the EU. Other providers may process information in other locations. Contact us for information about the providers and international-transfer arrangements relevant to your request.
Retention and security
We retain information for as long as it is needed to handle your request and maintain appropriate service records. The period depends on whether an enquiry leads to a service, whether there is an outstanding complaint or dispute, and applicable accounting or legal requirements. Access to the enquiry system is restricted to authorised users. The form service includes validation and controls to limit abuse. No online service can guarantee absolute security.
